Managing Your Team
What is Team Management?
Waplify lets you invite team members to your workspace so multiple people can manage campaigns, respond to chats, and handle contacts. Each member gets their own login and can be assigned a specific role with appropriate permissions.
How to use it
Viewing your team
- Go to Team from the sidebar
- You will see a table of all team members with their:
- Name and email
- Role (Owner, Admin, Manager, Agent)
- Status (Active, Deactivated)
- Date joined
Inviting a new team member
- On the Team page, click Invite Member
- Enter the person's email address
- Select a role for them:
- Admin — full access to all features
- Manager — can manage campaigns, contacts, and chat
- Agent — limited to chat and viewing campaigns
- Click Send Invitation
- The person will receive an email with a link to join your workspace
Managing pending invitations
- On the Team page, switch to the Invitations tab
- You will see all pending invitations
- You can resend an invitation if it was missed, or cancel it
Changing a member's role
- Find the member in the team table
- Click on the role dropdown or edit button
- Select the new role
- The change takes effect immediately
Deactivating or removing a member
- Find the member in the team table
- Click Deactivate to temporarily suspend their access — they can be reactivated later
- Or click Remove to permanently remove them from the workspace
Deactivated members cannot log in or access any features, but their account remains in the system and can be reactivated.
Tips & best practices
- Start with clear roles — assign the right role from the beginning to avoid giving too much or too little access
- Use Agent role for support staff — agents can handle chats without accidentally modifying campaigns or contacts
- Keep at least one Admin besides the Owner — this ensures someone can manage the workspace if the Owner is unavailable
- Review team access periodically — deactivate members who no longer need access
- Each team member uses their own email to log in, keeping activity traceable
Frequently asked questions
How many team members can I invite?
The number of team members depends on your subscription plan. Check your plan details for the exact limit.
Can a person be on multiple workspaces?
Yes. A person can be invited to multiple Waplify organizations using the same email address. They can switch between organizations from the sidebar.
What happens when someone accepts an invitation?
They will be prompted to create a password (if they are new to Waplify) or will be added to the workspace directly (if they already have an account).
Can I change the Owner of the workspace?
The Owner role is assigned when the workspace is created and cannot be transferred through the Team page. Contact support if you need to transfer ownership.
What if someone loses access to their email?
An Admin can generate a password reset link for any team member, or remove them and re-invite with a different email.
