Managing Contacts
What is Managing Contacts?
The Contacts page is where you manage all the people you want to message on WhatsApp. You can add contacts individually, edit their details, tag them for easy filtering, and keep track of who has opted in to receive messages.
How to use it
Viewing your contacts
- Go to Contacts from the sidebar
- You will see a table with all your contacts showing their name, phone number, tags, and opt-in status
- Use the search bar to find specific contacts by name or phone number
- Use filters to narrow down contacts by tags, opt-in status, or other fields
Adding a single contact
- On the Contacts page, click Add Contact
- Fill in the contact details:
- First Name (required)
- Last Name (optional)
- Phone Number with country code (required)
- Email (optional)
- Company, Industry, Website (optional)
- Click Save to add the contact
Editing a contact
- Click on any contact in the list to open their details
- Update any fields you need to change
- Click Save to apply the changes
Deleting contacts
- Select one or more contacts using the checkboxes in the table
- Click Delete to remove the selected contacts
- Confirm the deletion
Deleting a contact is permanent. Make sure you no longer need the contact before deleting.
Exporting contacts
- On the Contacts page, click the Export button
- Your contacts will be downloaded as a CSV file (a spreadsheet format that opens in Excel or Google Sheets)
- You can also export filtered results — apply filters first, then export
Tips & best practices
- Use tags to organize contacts by category (e.g., "VIP", "New Customer", "Event Attendee") — this makes it easier to target them in campaigns
- Keep the opt-in status updated — only send messages to contacts who have agreed to receive them
- Regularly clean up contacts with invalid numbers to keep your quality rating high
- Use Contact Groups to segment contacts for different campaign types
- For bulk additions, use the Import Contacts feature instead of adding one by one
Frequently asked questions
Can I search for contacts by phone number?
Yes. Use the search bar on the Contacts page and type the phone number (or part of it) to find matching contacts.
What does "opted in" mean?
Opted in means the contact has given you permission to send them WhatsApp messages. It is your responsibility to ensure you have proper consent before messaging.
Can I undo a contact deletion?
No. Once a contact is deleted, it cannot be recovered. You would need to re-import or re-add the contact manually.
Is there a limit on how many contacts I can have?
No. Waplify does not limit the number of contacts you can store in your account.
Can I add custom fields to contacts?
Currently, contacts support standard fields like name, phone, email, company, industry, and website, plus tags for custom categorization.
